Schedule & Optimise

Set your working hours, then let the deterministic Optimise auto-scheduler pack tasks around your commitments.

In Settings → Schedule, set your available hours for each day of the week (Mon–Sun); the weekly total is shown. This is your capacity baseline — it drives the over-capacity warnings (Operations Bar) and the auto-scheduler.

Optimise (deterministic auto-scheduler)

Calendar → Optimise (or say "optimise my week" / "plan my day") reshuffles your open tasks to fit their deadlines around your commitments. It is pure maths, not AI — earliest-deadline-first packing of each task’s estimate into your working-day capacity, scheduling around fixed walls (meetings and your external Google calendar events). It proposes a plan; nothing is written until you Apply.

  • Window — quick presets optimise the next Day / 3 days / Week / Month from today, or pick a custom From / To range to plan any window. The chosen dates are always shown so the horizon is never ambiguous.
  • Spread model (per run) — Focus cap (no task takes more than half a day; big tasks spill across days ASAP) or Even spread (a big task distributes evenly across the days to its deadline, e.g. 12h over 6 days = 2h/day). Small tasks stay on one day either way, so a part of a task never blocks a whole day.
  • Urgent front-loads — high-priority tasks grab whole days first (done ASAP), regardless of the chosen model.
  • Meetings / pinned tasks — a task flagged Meeting (task editor toggle) is a fixed wall the packer works around. A task where you type in a start date yourself is pinned (won’t be moved); leave the start blank to let the optimiser choose it.
  • Review — the modal lists every proposed move (old to new), a "won’t fit before deadline" overflow list, and any tasks skipped for having no estimate. Click any task in the plan to open its editor inline over the modal; the plan re-optimises when you save. Applied moves push to Google Calendar (for personas that sync) and glide to their new day on the calendar.

While creating or editing a task, entering an estimate plus due date shows — before you save — whether it fits your free capacity (and the earliest day it could start), or turns amber with the shortfall. "Save & optimise" saves the task and opens the planner with it in the mix.
